Student record
Objective
The Student record function offers complete access to the student's record in the GPI database by highlighting, with the colours associated to the prevention criteria, the data to be monitored (results, absences and memos). The function is also used to write memos, make interventions on memos and absences and complete various forms to be appended to the student record (e.g. the intervention plan).
Data
IDENTIFICATION OF THE STUDENT AND ACTIVITIES MENU
The first part of the screen displays the identification of the student and proposes tabs to be used to access the different activities of the selected student's record. The activities are accessible only if they are authorized in the user's application profile. The identification and the menu remain present in the top part of each of the activity pages.

The identification of the student includes the photo when it is available as well as a personalized list of identification data in the Identification of the student activity.

The activities that are available concerning the student record are:
Record  Viewing of the identification data for the student and the adults responsible, the address as well as the current school information. Modification of main data concerning the follow-up and the intervention plan for the student. This is the default activity displayed when the student file is first accessed. See more detail in section RECORD.
History Viewing of the student's attendance history in the school board summarizing the help given the student through the years. Access to view the different forms appended to the student record, if such is the case, for those years. See tab History.
Forms List of forms appended to the student record for the current year. Depending on the security measures defined for each form, possibility of completing a new form, of viewing, modifying or deleting an existing form. See tab Forms.
Results Viewing of term and summary results, coded messages and absences for each subject. Access to competency results and to teacher comments in a particular subject. Access to the results from previous years. Progress charts of the results. See tab Results.
Absences Viewing of detailed absences. Various statistics on absences, justified, not justified and lates: by subject, reason, period of the day, day-week, month and term. Distribution charts of the absences. Intervention mechanism on absences. See tab Absences.
Memos

 

Complete management of the student's memos: creation, modification, viewing and deletion. Application of the security defined in the user's memo profile. Distribution chart of the statistics for the student's memos by category. Intervention mechanism on the memos. See tab Memos.
Individualized education plan

 

Management of the student's education plans: creation, modification and viewing. See tab Individualized education plan.
Report card Link giving access to the student's last school report card produced in GPI (in PDF format).
Timetable Link giving access to the student's last timetable produced in GPI (in PDF format).
Mailbox Management of the letters concerning the student. Assembling using letter models. Printing on paper or sending by e-mail. The icon to the left of the student's photo gives access to their Mailbox
RECORD
The first block is used to complete or modify important control data concerning the follow-up and, if such is the case, the intervention plan for the student.
State of follow-up Code used to identify the state of the follow-up done with the student. The pulldown menu proposes the values defined in accordance with the school's needs in activity States of follow-up. The value "None" indicates that the student has no particular state of follow-up. This value can be modified only if the Record activity is authorized in modification in the user's application profile.
Interventions journal Text in free form used to summarize the measures that have been put into place to help the student during the year: e.g. the type of measure (special education teacher, psychologist, nurse, social worker,...), the personnel involved, the duration of the intervention. The details of the follow-up can also be entered in forms appended to the student record.

The icon calls up the Extended editing screen so as to complete or view the text in a greater space. This information can only be modified if the Record activity is authorized in modification in the user's application profile.
Individualized Education Plan Check box officially indicating if the student has an intervention plan. This information is very important for the transmission of data to the MEESR as of September 30. The information can only be modified if the MEESR data privilege allows it in the user's application profile.

These dates indicate precisely the period during which the student had an intervention plan. The interval of dates can cover several years. The dates can only be modified if the MEESR data privilege allows it in the user's application profile.
The central part of the page is used to consult the student's main identification and school information:

The student's e-mail address is that of the Edu-group Portal or another address. In the case where both e-mail addresses are completed, that of the Portal is displayed.

The Difficulty and SNS grouping data are displayed only if allowed in the Difficulty and grouping privilege in the user's application profile.
 
INFORMATIONS ABOUT ADULT RESPONSIBLES
This part provides the student's informations about parents and guardian. 
 
ADDRESSES OF ADULT RESPONSIBLES
This part shows all the effectives addresses in the student record.  A mention is added to the MEESR's addresses.
Actions
Save The Save command records the changes entered on screen in the database.
Undo The Undo command cancels the changes entered in the page.
